Job Title: High School /Financial Secretary Dept./School: Assigned Campus

Primary Purpose:
Provide campus help to assure the efficient operation of an organized office and to support administrators and department heads.
Qualifications:
Education/Certification
High School Diploma or GED
Special Knowledge/Skills
Proficient skills in typing, using word processor, filing, spreadsheet and Excel
Knowledge of bookkeeping procedures
Knowledge of budget codes
Minimum Experience
None
Major Responsibilities and Duties:
Performance
- Prepare all PO’s and PA’s for the high school in a timely manner.
- Maintain accurate records of all PO’s and PA’s.
- Follow through on all orders and oversee receiving of high school orders to be sure they are received and routed to the appropriate person.
- Deposit cafeteria money and prepare cafeteria reports.
- Receive and direct incoming calls, take reliable messages and route to appropriate staff.
- Help prepare the high school budget and maintain records for each faculty member’s expenditures.
- Help teachers find resources for purchases from the appropriate bid lists and catalogs.
- Receive, sort and distribute mail, messages, documents and other deliveries.
- Assist the attendance clerk on an as needed daily basis.
- Maintain confidentiality and teamwork in all areas of the job.
- Perform other duties as assigned by the principal.
- Assess needs for office supplies as necessary.
- Secure substitutes for teachers/staff leave.
- Monitor and process personnel time records including leave requests and reports. Compile information for payroll.
- Compile fine and fee list.
- Provide the principal with a daily list of substitutes.
- Maintain physical and computerized files including inventory of supplies.
- Prepare lists and order materials for graduation. This information is compiled for juniors and seniors.
- Type UIL eligibility lists and mail certified mail in the spring and fall.
- Responsible for petty cash monies.
- Prepare visiting team football packet and mail two weeks in advance of the game.
Supervisory Responsibilities:
None
Equipment Used:
Copier, personal computer, typewriter, telephone, adding machine, and audiovisual equipment.

Maintain emotional control under stress. Work with frequent interruptions. Repetitive hand motions; prolonged use of computer.
